Automate stable repetition

Automation works best when the input, rules, and desired output are understood. A chaotic process does not become reliable simply because software moves it faster. Before automating, watch several real examples and write down the normal path, the exceptions, and the person who decides what happens when the rules do not fit.

The strongest candidates are frequent, rules-based tasks that consume attention without requiring much judgment. Moving form submissions into a CRM, generating routine documents, sending status notifications, and reconciling data between systems are common examples.

The five checks

A workflow is usually ready when you can answer yes to most of these questions.

• Repeatable: does the process follow the same broad steps most of the time?
• Observable: can you tell whether each run succeeded, failed, or needs review?
• Owned: is one person responsible for the process and its rules?
• Valuable: will reducing delay, labor, or errors create a measurable benefit?
• Recoverable: can a person safely correct an exception without losing information?

Keep people at judgment points

Good automation removes clerical effort while making judgment easier. It can collect context, prepare a recommendation, and route an exception to the right person. It should not silently guess when a financial, contractual, or customer-impacting decision falls outside the known rules.

Build clear logs, notifications, and retry behavior into the first version. The happy path proves a demo works; recovery paths determine whether the automation can be trusted in daily operations.

Measure the result

Record the current time, error rate, and turnaround before making a change. After launch, compare those same measures and ask the people using the workflow where friction remains. This prevents automation from becoming an invisible layer that nobody owns.
